How do I separate business and personal expenses after mixing them?

Last updated September 27, 2026

Already mixed business and personal spending? Here is how to clean it up and separate your money going forward.

If you already mixed business and personal expenses, do not panic. You can clean it up by separating the transactions, saving proof, and setting a clear rule going forward. The goal is to show which money was for the business and which money was personal. This matters for taxes, bookkeeping, and liability protection if you have an LLC. You do not need a perfect system from day one, but you do need a consistent one as soon as possible.

Steps

  1. Pick a cutoff date Choose the date you will stop mixing money. From that date forward, use only your business account or business card for business activity when possible.

  2. Open a separate business bank account If you have an LLC, use the LLC’s legal name and EIN if you have one. If you are a sole proprietor, ask the bank what they require.

  3. Export recent transactions Download your bank and credit card activity for the period when money was mixed. A spreadsheet is fine if you do not use bookkeeping software yet.

  4. Mark each transaction Label each item as business, personal, or split. For split expenses, note the business portion and why it was business-related.

  5. Save receipts and notes Keep receipts, invoices, mileage logs, order confirmations, and short notes explaining unclear transactions.

  6. Treat personal money used for the business correctly If you paid a business expense personally, record it as owner contribution or reimbursement, depending on how you handle your books.

  7. Do not pay personal bills from the business account When you need money, transfer funds to yourself as an owner draw, distribution, or payroll, depending on your tax structure. Then pay personal bills from your personal account.

  8. Review monthly Set a simple monthly habit: reconcile transactions, attach receipts, and move tax savings aside.
