Do I need bookkeeping software before I have revenue?
Last updated September 27, 2026
You may not need software on day one, but you do need a simple system to track startup costs, receipts, and income.
You usually do not need paid bookkeeping software before you have real business activity. But you do need a basic recordkeeping system as soon as you start spending or getting paid. The goal is simple: know what came in, what went out, what was personal, and what was business. A clean spreadsheet and receipt folder can be enough at the beginning. Software becomes more useful when you have regular sales, lots of expenses, contractors, inventory, sales tax, payroll, or multiple payment platforms.
Steps
-
Pick one place to track money. Start with a spreadsheet or bookkeeping tool. Use whatever you will actually keep updated.
-
Record startup costs now. Track formation costs, supplies, software, domain purchases, equipment, professional help, and other early expenses. Add the date, vendor, amount, payment method, and business purpose.
-
Save proof. Keep receipts, invoices, bank statements, and payment confirmations. A cloud folder with month-by-month subfolders is enough for many founders at first.
-
Separate business and personal activity when you can. If you have an LLC, a business bank account helps keep the LLC cleaner. If you are still using a personal account temporarily, mark business transactions clearly and avoid mixing more than necessary.
-
Update your books monthly. Do not wait until tax season. A simple monthly review helps you catch missing receipts, subscriptions, refunds, and duplicate charges.
-
Upgrade when the simple system starts breaking. Consider bookkeeping software when you are making consistent sales, collecting sales tax, managing inventory, paying contractors, or spending too much time sorting transactions manually.
-
Ask for help before filing taxes. A CPA, enrolled agent, or qualified tax preparer can help you clean up categories and avoid guessing.
